Refund Policy

This Refund Policy outlines the circumstances under which customers may be eligible for refunds or credits for subscriptions purchased from Vanforces™. By subscribing to our services, you agree to the terms outlined below.

1. General Policy

Monthly Subscriptions:

  • Monthly plans are billed at the end of each month based on the number of active users.
  • No refunds or credits are issued for user deletions mid-month.
  • Cancellations take effect at the end of the current billing month.

Yearly Subscriptions:

  • Yearly plans are billed upfront based on the number of users at the time of purchase.
  • No cash refunds are provided once the payment is processed.
  • Customers who reduce user count mid-year will receive prorated credits for the unused subscription period.
  • These credits are applied automatically to future invoices or subscription renewals and are non-transferable and non-refundable.

2. Mid-Cycle Adjustments

  • Additions (Monthly and Yearly): Users added mid-cycle will be charged on a prorated basis for the remaining period in that billing cycle.
  • Deletions (Monthly): Users deleted after 15 days of usage are billable for the entire month.
  • Deletions (Yearly): Users removed mid-year are eligible for prorated credit based on the remaining days in the annual billing cycle. These credits are applicable only to future charges or renewals.

3. Yearly Subscription End and User Reductions

  • Customers who reduce the number of users before the end of their yearly term will receive prorated credits for the unused portion of those user licenses. These credits will be automatically applied to the next renewal invoice.
  • If the customer chooses not to renew the subscription after the annual term ends, any remaining unused credits will expire 30 days after the billing term ends.
  • No refunds are issued for unused credits or for unused time in canceled subscriptions at the end of the annual billing period.

4. Plan Changes

  • Upgrades: Upgrades are effective immediately. Prorated charges apply for the remaining billing cycle.
  • Downgrades: Downgrades take effect at the start of the next billing cycle (monthly or yearly). No refunds are issued for unused features or capacity.

5. Grace Period

  • Basic Plan: Only the first user added receives a 7-day grace period before billing begins.
  • Premium Plan: Up to three users added receive a 7-day grace period. Additional users are billed immediately.

6. Cancellations and Renewals

  • Yearly subscriptions auto-renew unless canceled at least 30 days prior to the renewal date.
  • Notifications will be sent 30 days before the end of the current term.
  • Canceling a yearly plan stops the next renewal but does not initiate a refund for the current term.

7. Dispute Resolution

All billing disputes must be reported within 30 days of the invoice date. Any requests raised beyond this window may not be eligible for review or credit.

8. Modifications

Vanforces™ reserves the right to update or modify this Refund Policy at any time. Continued use of the services after any such changes constitutes your consent to the revised policy.
